How we work
Four principles shape every engagement, from the first discovery call to the monthly service that follows.

Build and run under one roof
The team that builds your AI agent, report or website also hosts it, monitors it and fixes it, through a monthly Run service such as Managed AI or Website Care. Nothing is handed over to a stranger.

Named products, priced in writing
Practice Reporting, AI Setup, websites and each AI agent have a defined scope and a set pricing model: a fixed fee for AI Setup, with optional monthly admin, and a setup fee plus a monthly fee for Practice Reporting and the agents. Apps and integrations are quoted per job. Either way, you approve a price in writing rather than an open-ended hourly estimate.

Security you can check
Client data is stored in fully GDPR-compliant data centres, and our security and data residency page explains how we protect it.

Professional-services knowledge
We work in the language of WIP, recoverability, lock-up and trust accounting, and on the systems firms run: Xero Practice Manager, Actionstep, LEAP, Clio and MYOB. Firms don't pay for us to learn how a practice works.

Scope and price in writing first
Every build is scoped and priced in writing before work starts, so there are no open-ended hours.
A person approves what agents send
Our AI agents draft; a person at your firm approves what they send. The After-hours Receptionist answers live only from wording your firm approves in advance.
Every agent action logged
Every action an agent takes is recorded in an audit log, so you can see exactly what it did.
GDPR-compliant data centres
Client data in the systems we build and run is stored in fully GDPR-compliant data centres.

Websites are designed and tested against WCAG 2.2 level AA and Google’s Core Web Vitals “good” thresholds.

Why we started Pylon Digital
We have worked in the IT industry for more than eight years, looking after the systems businesses depend on every day. When AI tools arrived in the workplace, we watched staff adopt them faster than anyone could manage them: client documents pasted into free chatbots, accounts opened without single sign-on or admin controls, and no clear answer to where the data went.
The AI consulting on offer didn’t close that gap. Most of it stopped at strategy sessions or prompt workshops. Very little of it was a dedicated onboarding process designed to protect an organisation’s data, put governance in place and keep both working after the consultants left.
Pylon Digital was set up to be that process. Every AI engagement starts the same way: we find out which AI tools are already in use, set up business plans properly with single sign-on, admin controls and training opt-outs, write the usage policy and train the team. That is our AI Setup. Only then do we build agents, automations and reporting on top, and we keep running them. Website and app projects start with a discovery call and a written scope, and are run the same way after launch.
