Every engagement starts with a free 45-minute discovery call. We talk through your business, the systems you use and the problem you want solved, then recommend a first step, usually AI Setup or a scoped website, app or AI build. You can book a discovery call online; there is nothing to prepare beyond a rough idea of what is taking up your team's time.

Each service has a set pricing model. AI Setup is a fixed fee with optional monthly admin, and website builds are a fixed fee. Private AI, AI Agents, AI Automation and Practice Reporting are a setup fee plus a monthly fee. App Development and Integrations & Custom Tools are quoted per job, and Run services are monthly tiers. Each is quoted in writing after the free discovery call, so you approve a known figure before work starts.

It depends on the service and how many systems are involved, so we set out the timeline in your written proposal, before you commit. AI Setup is usually the quickest, because most of the work is settings and training. Practice Reporting and website builds take longer, because you sign off definitions or content along the way.

Because AI and web systems need running after launch. Vendors change their APIs, staff join and leave, source systems move and security updates keep coming. The monthly fee pays for hosting, monitoring, fixes and small changes, so a report or agent that works in month one still works in year three. It is the difference between a vendor who builds and leaves and one who stays.

Client data in systems we build and run is stored in fully GDPR-compliant data centres. Public AI tools such as ChatGPT, Claude, Microsoft Copilot and Gemini are hosted by their vendors, so AI Setup configures the data controls in their business plans rather than hosting them. Usually, yes. We build on the systems businesses and firms already run, including Xero, Xero Practice Manager, MYOB, Actionstep, LEAP, Clio, Microsoft 365 and Power BI. If a system offers an API or a scheduled export, we can usually connect to it. Where systems need joining up first, that work sits under integrations and custom tools, and we confirm what is possible before you commit.
